Speaker's Guidelines
Preparations for your presentation
- The presentation in any case, should not exceed the time allotted (30-40 minutes)
- We recommend our speakers to prepare a comprehensive and interesting presentation informative to the audience.
- Start the presentation papers by outlining the structure of the talk, i.e. the titles of main sections, summary of the topic and conclusion.
- Please observe the deadline set by the organizer in terms of submitting the papers.
- Majority of the audience will be from the Middle East Region. It is therefore recommended to avoid using any offensive images such as nudity or alcohol.
At the Conference
- It is recommended to meet the Moderator / Conference chairman and other presenters at least an hour before the event starts.
- If any handouts are brought, please kindly inform OITE in advance to have ample time to distribute such before the session starts.
- Seating arrangements for the speakers will be near the front for convenience.
During your talk
- Final presentations are pre-loaded on the laptop located at the podium linked to the multimedia projector. Lapel microphone will be also available should you wish to walk around the stage during your session.
- Make every effort to hold your audience by maintaining eye contact, modulating your voice and employing a lively delivery.
- Speak clearly into the microphone so that you can be heard by the audience.
- We advice to limit your presentation based on the allocated time (30-40 minutes) and to allocate 5 minutes for Q&A.
- Casual and humor mixed into the presentation is always appreciated to keep the audience interested. But please avoid jokes that might be offensive to the audience.
- We encourage our speakesr to stay for the entire session. If there is some compelling reason to leave early, please inform the Conference Manager ahead of time.
Question/Answer and Discussion Period
- Always repeat the question before answering.
- Answer briefly and to the point. If a lengthy response is necessary, offer to meet after the session.
- Be prepared to handle tough questions.
Speaker Roles
Conference Chairman – The conference chairman's role is to make the opening remarks at the start of the event, introduce each speaker, field questions from the audience and place his/her own if there are none from audience, he/she should ensure the programme runs on time.Keynotes – Keynote speakers are the ones who present the first session or key session at the conference and receive the highest billing in all event marketing. Their role is to open the conference with a high-level speech that sets the tone and theme for the whole event.
Session Speaker – Individual speakers are required to prepare a 30-40 minute presentation, (slides). Session speakers will be introduced by the conference chairman and then allowed to speak, free of interruption for the allocated time slot. Session speakers are allowed a Q & A session of 5-10 minutes for questions from the audience at the end (which will be facilitated by the chairman)
Moderator – Panel moderators will introduce each panelist and ask them a series of pre-prepared questions. The Moderator acts as a "talk show host" he/she should encourage audience participation, and make the session interactive, fielding questions from the floor and keeping the panel to the allocated time.
Panelist – Panel speakers are not required to provide power point slides/presentations for their session. They can provide papers / articles for delegates' reference; these papers will be uploaded on the event website and also into the conference proceedings. Panelist will be involved in a debated / interactive discussion with the moderator, the other panel members and the audience.
Sponsor / Vendor Speaker – Sponsor speakers can be either session speakers or panelists. They are encouraged to keep to the topic suggested by OITE and maintain attention and interest of the audience.
